This policy explains what information CoolCove collects when you visit coolcove.com or interact with our customer-experience team, why we collect it, how long we keep it, and the choices you have.

What we collect

When you place an order, we collect the information needed to fulfil it: your name, email address, shipping address, billing address, and payment instrument details. Payment card data is processed by a PCI-DSS Level 1 payment processor and is never stored on our servers in plain text.

When you browse the website, we automatically receive your IP address, browser type, operating system, referring URL, and pages visited. We use this information in aggregate to understand which content is useful and where the site is broken.

When you contact our customer-experience team, we keep a record of the conversation so that any future agent who helps you has the context to do so well.

SECTION 02

How we use it

We use the information we collect to process and ship orders, to respond to enquiries, to prevent fraud and abuse, to improve the website, and — only if you opt in — to send you occasional product updates by email.

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We do not share your data with advertising networks, data brokers, or social-media platforms beyond what is strictly necessary to operate the website.

We use a small number of vetted service providers to help us run the business: a payment processor, a shipping aggregator, an email service, and a customer-experience platform. Each of these providers is contractually bound to use your data only to perform the service they provide to us.

Cookies & local storage

We use a small number of cookies and similar technologies to keep you signed in, remember the contents of your cart, measure how the site is used, and — only with your consent — to support marketing campaigns. You can disable non-essential cookies at any time from the cookie banner or your browser settings.

How long we keep it

We keep order records for seven years to comply with tax, accounting, and warranty obligations. We keep customer-experience correspondence for three years so that a returning customer has continuity. We keep marketing-subscription data until you unsubscribe.

Aggregated, anonymised analytics data may be retained indefinitely. If you ask us to delete your personal information, we will do so within 30 days, except where retention is required by law.

Your rights & how to exercise them

You have the right to access the personal information we hold about you, to correct any of it that is wrong, to delete it (subject to the retention rules above), to restrict or object to certain processing, and to port your data to another service in a commonly used machine-readable format.

Depending on where you live, additional rights may apply under local law — including the right to lodge a complaint with a data-protection authority in your jurisdiction. We will respond to verified requests within 30 days. If your request is unusually complex, we will tell you why and how long we expect to take.

We do not sell your data. Period.

Some companies make a business of selling or sharing customer data. We are not one of them. Our revenue comes from selling a portable air conditioner to people who want one, and from supporting them well afterwards.

Last updated: 01 July 2026. This policy is reviewed at least annually and whenever we introduce a new data-processing activity. Material changes are announced by email to subscribers and by a banner on the home page for at least 30 days.
